A great opportunity has arisen for a Visit Coordinator position based in Hertfordshire.
The postholder will be tasked with reviewing visit reports, supporting personnel to book visits across the various construction sites around the country. General administrative experience will be required. Fully office based position.
Experience Required
- Experience in a diverse customer service environment.
- Able to work under pressure and to deadlines.
- Strong interpersonal skills, with an ability to deal effectively with customers and colleagues.
- Proven ability to use IT based systems, particularly Microsoft 365.
A positive and confident communicator.
Visit Coordination
- Supporting the general coordination of monitoring visits.
- Obtain client contact details where these are registered as ‘not known’.
- Assist Monitors in booking visits with registered activities who have been difficult to contact.
- Coordinate the cancelled fee process, trying to find an alternative visit to replace the cancelled one and ensure that the registered activity is appropriately invoiced (working with the Assessment Coordinator and Onboarding Coordinator).
Monitor’s Site Reports
- Review and send out Monitor Visit Reports to registered activities.
- Check Monitor Visit Reports for missing or inaccurate information, contacting the relevant Monitor to clarify and resolve issues prior to send out.
- Coordinate any required report resubmissions, ensuring that reports are returned and sent within relevant timescales.
- Stop the release of any inappropriate reports, flagging these to line management for action.
- Coordinate and manage any queries or comments on Monitor Visit Reports.
